GENERAL SUMMARY/ OVERVIEW STATEMENT

Under the direction of the Assistant Director, Pharmacy IS, the Clinical Applications Specialist, Pharmacy is responsible for providing subject matter expertise and end user support for the clinical and automation systems utilized by the pharmacy department to provide patients with optimum care. Additional responsibilities include liaising with technology vendors, MGB systems build teams, hospital clinical teams, and pharmacy staff for product implementations, upgrades, and enhancements to the pharmacy systems.

The person in this role will identify, triage, communicate, and resolve application issues; as well as provide analysis on systems requirements and make recommendations on systems matters as they relate to pharmacy activities and workflows. This position requires technical excellence, clinical know-how and organizational acumen.

A qualified candidate should have a working knowledge of Epic and Omnicell products, an understanding of Software Development Life Cycle (SDLC) methodologies, strong technical basics, and experience with software interface standards (HL7).

PRINCIPAL DUTIES AND RESPONSIBILITIES

This role carries primary point of contact duties (coordination of systems activities and communications) for the technologies overseen by the Pharmacy IS team, which includes tier 1 support for Epic Willow and Willow Inventory, Omnicell Automated Dispensing Machines, IVx Workflow Solution, Central Pharmacy Carousels, and two Repackaging Applications and associated machines.

Integral duties and responsibilities of the position include:

* Monitoring and maintaining integrity of pharmacy systems to ensure effective daily operation and compliance with IT standards and regulatory policies. This includes collaborating with IS Pharmacists for medication list administration, drug library maintenance, barcode administration troubleshooting and pharmacy billing reconciliation support.

* Managing Clinical Business Analyst (CBA) activities in the support of Epic Willow/Willow Inventory.

* Leading post-Epic upgrade support/huddles.

* Recognizing, communicating, and escalating concerns in a timely manner.

* Working to resolve application issues by collaborating with users, vendors, and MGB IS departments.

* Applying subject matter expertise and industry best practices to evaluate and assess clinical appropriateness of software applications.

* Evaluating safety reports from the systems perspective to determine the feasibility of implementing a system-based solution for improving or mitigating the identified problem.

* Collaborating with clinical, operational, and investigational research teams to gather requirements and develop specifications for systems development/build.

* Participating in all phases of project development life cycle toward the timely and safe implementation of new applications and upgrades, including implementation activities and post go-live support.

* Contributing to preparation of testing scripts and materials and performing unit, functional, regression, and integrated testing tasks related to software and hardware upgrades.

* Preparing and presenting project status updates, ad hoc reports, system demonstrations and training materials to department leadership and/or staff.

* Assisting with end user training for all pharmacy computer systems and automation.

* Participating in the development of policies and procedures for pharmacy technology and automation, including downtime procedures.

* Attending weekly team meetings to discuss team and project related activities, systems issues, change requests, department updates.

* Participating in department, interdisciplinary and enterprise meetings as Pharmacy IS representative.

* Providing guidance, training, and preceptorship to a diverse range of individuals, including pharmacy staff, residents and students.

* Providing Pharmacy IS cross team coverage for basic support needs.

* Allocation of Time

o 60% Systems Administration, Maintenance, Support

o 20% Project Work (analysis, planning, testing, deployment)

o 10 % Assessments, Requirements, Design and Collaboration/Communication

o 5% Documentation (development of technical artifacts; designs, diagrams, workflows, specifications, tip sheets)

o 5% Professional Development/Department Activities

Qualifications

SKILLS & COMPETENCIES REQUIRED

* Knowledge of applicable state and federal laws and regulations.

* Knowledge of SDLC

* Knowledge of technical basics and software interfaces (HL7).

* Knowledge of enterprise ticket systems; ServiceNow preferred.

* Knowledge of PC applications.

* Knowledge of Crystal Reports.

* Excellent interpersonal skills; strong oral and written communication skills; attention to detail.

* Ability to communicate well, and timely, with people at all levels of a large organization-hospital, corporate departments, and outside vendors.

* Ability to prioritize and handle multiple tasks in a demanding work environment and meet deadlines.

* Ability to work independently and collaborate with a team.

* Ability to effectively conduct small meetings, both formal and informal, in person or via video conference.

* Ability to understand pharmacy processes and read, analyze, and interpret pharmacy system data.

* Ability to effectively present information and respond to questions from colleagues, groups of managers and/or clients.

* Ability to define problems, collect data, establish facts, and draw valid conclusions.

* Ability to contribute to small and major project plans, including identification of tasks, dependencies, resources, and timelines.

* Ability to lead Pharmacy IS components of projects, taking ownership and accountability of the project's success.

* Ability to understand and follow change management processes.

EDUCATION

Required:

* High School diploma or GED equivalent

Preferred:

* Bachelor's degree.

Field of Study/Additional Specialized Training:

Computer Science, Information Systems, or Healthcare related field preferred

EXPERIENCE

Required:

* 5 to 7+ years of hospital pharmacy experience

Preferred:

* Epic Willow Certification.

* Experience with Epic Willow and Epic Willow Inventory.

* Strong knowledge of hospital pharmacy workflows.

* Experience with Health Information Systems and their application in clinical pharmacy, inventory, and revenue management.

* Experience with Omnicell automation and EDI interfaces.

* Experience with Barcode Medication Administration technology.

* Reporting experience with business intelligence tools

SUPERVISORY RESPONSIBILITY

Indirect:

* This position has no direct reports; may indirectly provide leadership and guidance to less seasoned and new staff

FISCAL RESPONSIBILITY

* This position participates in support activities related to pharmacy billing reconciliation.

* This position participates in activities related to department cost savings initiatives

WORKING CONDITIONS

  • Position is eligible for remote work under the 'Were We Work' program after initial 90-day probationary period.
  • Ability to be flexible, versatile, and adaptable in day-to-day activities. This may occasionally involve the requirement to work outside normal business hours to meet the needs of the clinical operation; and may include on-call coverage ad hoc/rotation as business needs dictate.
  • Duties may require travel to offsite locations.
  • Must be able to lift up to 20 lbs.
  • Must be able to sit for extended periods of time.
